Structure

The Department is headed by a Senior Inspecting Pharmacist who reports to the Registrar. There are three Schedule Officers, Public Affairs Officer and Pharmacy interns. There are two units within the Department namely:

  • Information Systems
  • Publications

Purpose

The purpose of the department is to ensure that reliable, effective and relevant management information systems are put in place for the efficient management of information at the Pharmacy Council as well as recommend and conduct and coordinate appropriate (operational) researches. This is to be achieved through directing and managing computing and information technology strategic plans, policies, programs and schedules for Council's data processing, computer services, network communications, and management information services.

Function of the Unit

  • Develop and establish operating policies and approaches for computing and IT.
  • Evaluate overall operations of computing and IT functions and recommend enhancements.
  • Advise management on strategic systems conversions and integration in support of Pharmacy Council’s goals and objectives.
  • Prepare organisational objectives and budget to facilitate the orderly and efficient capture, storage, processing, and dissemination of information.
  • Interact with managers and end users on internal and external operations that are impacted by the capture, storage, processing and dissemination of information.
  • Review and make recommendations on IT contacts for computing and IT services and equipments.
  • Ensure the security of information systems, communication lines and equipments.
  • Initiate and oversee the development, design and implementation of new applications and changes to existing computer services and software packages.
  • Ensure the integrity of information and data of Council and the various units.
  • Be responsible for the development, review and implementation of all backup and disaster procedures and plans.
  • Identify emerging IT to be assimilated, integrated and introduced into Council.
  • Assess new computing technologies to determine potential value to the Council.
  • Provide support and guide individuals, departments and decentralised offices in computing and IT efforts.
  • Identify training needs and facilitate training of IT staff and end users to enable them perform their functions effectively.
  • Manage access rights and carry out audit of database systems

Publication

  • Prepare MIS reports to support operations and decision making processes.
  • Prepares and publishes periodic reports for the Council, Ministry of Health and other stakeholders (e.g. annual report and secretariat reports of council)
  • Prepares working documents for all the relevant committees of Council
  • Organizes editorial meetings, edits and publishes the newsletter of the Pharmacy Council – The Regulator (biannual publication)
  • PREPARES PAPERS FOR Council’s position on various issues – e.g. Regulation of the distribution of Pharmacies in Ghana.

Public Relation

  • Assists in enhancing the public image and positive perception of the Council
  • Creates awareness about the activities of the Council – responsible for website development and maintenance, paraphernalia like calendar, Christmas cards etc.

Other Assigned Activities

  • Induction of newly qualified and registered Pharmacists
  • Maintaining the Library services of the Council
  • Training of staff within the department
  • General administrative and assigned duties
